What Woodbridge Does

Financial operations management is the ongoing work of keeping your practice's financial infrastructure clean, current, and protected. It covers your books, your reconciliation, your accounts receivable and payable, your payroll, your vendor contracts, and your technology systems. Think of it as the difference between having someone file your taxes once a year and having someone watching your money every single month so nothing slips through.

A bookkeeper categorizes your past transactions. We manage your entire financial operation, clean books, monthly reconciliation, AR and AP management, payroll oversight, systems audits, vendor contract oversight, and technology monitoring. We're not categorizing what already happened. We are actively protecting what's happening right now and preparing your practice for what comes next.

No. We don't prepare or file taxes. What we do is make sure your records are clean, organized, and ready well before your CPA needs them. When tax season arrives, your CPA gets everything they need without the scramble. If you don't have a CPA, we can point you in the right direction.

No. We work with practices at every stage, with or without a CPA already in place. If you have one, we work alongside them and make their job easier. If you don't, we'll help you understand what kind of tax support makes sense for your practice when the time comes.

QuickBooks Online is our primary financial management platform. We also set up and integrate ADP Payroll, Gusto, and other payroll and operations tools your practice needs. On the practice management side, we work within whatever booking, scheduling, and EMR platforms your business already runs, Mindbody, Jane App, Vagaro, Zenoti, and others. We come to your systems, not the other way around.

A technology systems audit's a full review of every platform, subscription, and automation your practice is paying for or running. We look for SaaS subscriptions still billing after trials ended, duplicate payments from card updates nobody caught, automations misfiring between platforms, renewal contracts with hidden rate changes, and unused services on autopay. Most practices are surprised by what we find.

We track every vendor agreement, software contract, and service subscription your practice has. We watch renewal dates, flag rate changes, and review cancellation terms so you're never caught by a penalty clause or an auto-renewed term you didn't see coming. SaaS companies count on owners being too busy to read the fine print. We read it for you.

We monitor the processing rates on your payment systems. Credit card processing rates, payment platform fees, and financing program rates can all creep up quietly over time. We track them, flag when they increase beyond your original agreement, and identify opportunities to negotiate better terms. Small percentage differences on high volume practices add up to significant money over time.

The Engagement

Every engagement starts with a complimentary 30-minute intro call. If we're a good fit, we schedule a 1-hour financial operations strategy session to review your current situation in detail. From there we scope your engagement, send you a proposal, and once signed, onboarding begins immediately. Most clients are fully operational within the first month of service.

Engagements are structured as ongoing monthly retainers. The intro call and strategy session will walk you through exactly what commitment looks like for your specific scope. Nothing is signed or committed to before that conversation happens.

There's no standard package. The investment depends on the complexity of your practice, the volume of your transactions, and the scope of services you need. A 30-minute intro call is enough to give you a clear picture of what working together looks like and what it costs. We don't publish pricing because we don't believe in putting a number on work we'ven't scoped properly.

Fully remote. We work with health and wellness practices across the United States. Your location has never been a factor and it never will be. No office visits, no in-person requirements, no geographic limitations.

Yes. All engagements are available in English, Spanish, and French. No translation gaps, no communication barriers, no losing nuance in a language that isn't your first.

Yes, and we do this regularly. Our role is to keep your records clean and current throughout the year so your CPA has everything they need before they ask for it. We don't replace your existing relationships, we make them more efficient. Your CPA stays your CPA. We handle the operational financial layer that sits beneath their work.

We work best with established health and wellness practices generating a minimum of $50,000 in monthly revenue with at least 3 staff members. Either you have grown fast and the financial infrastructure never caught up, or you have been operating for years with no one actively managing the back office. If either of those sounds like you, the intro call is the right next step.

Website Audit and Rebuild

The Additional Service

The website audit's a standalone revenue review of your practice's website. We go through every page looking for places where potential clients are losing confidence, getting confused, or leaving before they book. We look at your booking flow, your copy, your mobile experience, your load speed, and your calls to action. We document every gap and deliver a clear prioritized report of what needs to change and why.

No. The website audit's a separate paid engagement, priced based on the scope of your site. It's the only Woodbridge service available outside of the monthly retainer.

No. The website audit's available to any health or wellness practice regardless of whether you are on a retainer. If you choose to onboard as a retainer client after the audit, your engagement starts at full price. We don't discount our work.

You receive a detailed audit report and we walk through it together on a review call. From there you decide what to do with the findings. If you choose a rebuild, we scope and manage that engagement separately. If you choose to implement the changes yourself or through your own team, the report gives you everything you need to do that. Either way you leave with a clear picture of what your website needs.
